How do I get myself ready? simon 06/23/03



    Hi, I moved to an office since January 2003 where I have a temp boss.

    My actual boss will move back in mid July. He is the Associate Dean of a hospital.

    I have been instructed to make the office ready for the actual boss as he is very particular in everything. He has a short fuse and he does not like to be kept waiting for anything in particular.

    The secretary who was there before me has been moved to a supervisor position and when I ask him how should I get ready he only responds with “just update the filing”.

    This jerk will not be of any help as he has not been any help since the last 6 months so it’s useless even to ask him for anything.

    Here is the checklist that I have made which I think I should be aware of or rather take care of before the boss comes.

    Can anyone please suggest more things so I am ready for my boss and I don’t hear from him “that what did you do all these months? U should be more organized”


    1. Clean office
    2. Organize existing files in the office
    3. Organize and update files in my office (secretary)
    4. Update and organize my file cabinet
    5. Stationary- keep paper, letterheads, etc ready for self and boss
    6. WHAT ELSE CAN ANYONE HELP?

      Thank U. Your answer calmed me a bit. U are correct especially in the last para. Though HE is very particular & HE himself is like a lost little boy. For example, you give him a draft on Friday, he will take it home and forget it, then on Monday will ask you to give him the whole lot of documents you had already given him on Friday.

      Though he is very particular, a neat freak and temperamental. When he wants something, no matter if it’s a paper, document, stationery, etc, HE wants it NOW. Though he is the boss and due to whom I will be receiving a pay cheque so he is the BOSS. I am kind of disorganized myself and it’s difficult to keep him organized when I can’t even keep myself organized. I don’t know how to tackle this particular point.

      Though the thing which makes me more nervous is that when he looses his cool, I get more nervous and am unable to perform. My mind goes blank in such situations.

      Thanks. I tried that the first 2 months i was with him. He has 3 secretaries and one of them had gone off for X-mas Holidays so i was kind of sitting in her place. Anyway, this was kind of a problem creating task. Because, he wanted his emails to be copied to me, then me deciding what is important and what is not.

      I tried doing that but it became so confusing. I told him that "sir, since i have just joined, i first have to see what kind of emails you get and then decide what is something important to you.

      So he said no see which you think are important and save them and at the end of the day i will go over them. But this did not work out as at 4 pm i would give him the day's mail and he would be sitting here till 7pm answering them. Though i did not know what to do with the mails i received after 4. People kept sending them till 750pm in the evening.

      I have seen that when i am involved with a lot of flow of information, my mind, flow of ideas, becomes scattered, and i myself get so confused that how the heck am i suppose to organize everything?

      Anyway, He already has people sending him reports, meeting him every day to give their feedback on special reports, BUT they still write to him, especially CC to him in EVERYTHING they do. I guess everyone wants him to know how much time and enrgy they are giving in the Hospital's projects.

      Here is how i have tried tough, unsuccessfully to manage his always overloaded email box. Sometimes when I want to send him messages, I send him an email and the emails comes back to me saying that it is overloaded.

      Here is how I differentiate the emails:

      If it is written directly to him it must be important.

      If it is CC’d then may be it is only meant to be for his info?


      Or they just want to keep him in the loop of things?

      If it is an email form a patient of his, (he is a Urologist as well) then keep these aside because most of them want appts, clarifications on medicines etc.

      Delete, after reading once, notices on lectures, programmes, etc.

      Though this method of mine was unsuccessful as it only made me more confused and surrounded by clutter.

      Anymore ideas will be greatly appreciated.
